Clinic Office Assistant
​​
We are seeking a part-time office assistant to join our team!​
This is a valuable role as a first point of contact for individuals seeking therapy. Help to maintain a positive, inclusive patient experience with supportive interactions via phone, email, and in-person contact, and provide office support with a variety of clerical activities to promote the efficient operation of our clinic.
​The ability to adapt your communication style to relate authentically and clearly with individuals of diverse abilities, backgrounds, and interaction styles is crucial. We are actively inclusive, anti-ableist, and neurodiversity-affirming.​
This position will be shared with another lovely human who is working part time. They are very knowledgeable and will be available to share the most complex aspects of the job initially, and help to gradually scale responsibilities as you’re able to learn.​​

Schedule

10 to 15 hours across 2-4 days of the week.

You can have flexibility in your schedule within our clinic hours (8-5 Mon-Fri).

Additional hours and expanded responsibilities could be available for the right candidate.

Qualifications
-
Excellent communication skills in verbal and written expression.
-
Strong executive functioning abilities - time management, organization, ability to set priorities, shift attention, and complete tasks amidst interruptions.
-
Precise attention to detail.
-
Efficient computer skills and proficiency within Google Workspace.
-
Comfort using spreadsheets - training will be provided, but we want you to know this going in: tracking and managing data in spreadsheets is a crucial aspect of the job.

Knowledge and Skills
Ideal candidates will also have experience with:​

Health care settings and support services for children and families

Familiarity with how health insurance coverage works​​

HIPAA compliance and confidentiality of protected health information
Duties
-
Maintain a welcoming atmosphere in the reception area for patients.
-
Provide information to potential new patients, help coordinate the intake process, and schedule appointments.
-
Maintain and update client information in our electronic database.
-
Process incoming and outgoing requests related to referrals and medical records.

Receive payment for services.
-
Carry out organizational tasks and light tidying in the office.
-
Help educate patients about their insurance and check their benefits.
-
Communicate with clinicians regarding office, scheduling, and patient needs.

Duties

Build trusting relationships for clients to feel safe to address difficulties, have fun, and build confidence to tackle the big challenges.

Involve caregivers in treatment for education, coaching and home program, and therapeutic interventions.

Working Environment / Physical Activity

This job involves physical activities in clinical spaces and therapy gyms that require considerable movement of the whole body, such as lifting, balancing, walking, stooping, hanging, rigging, and handling of suspended equipment for individuals who require movement and sensorimotor interventions.

Qualifications
-
Occupational Therapy degree from a program that has been accredited by the Accreditation Council for Occupational Therapy Education or the American OT Association
-
Eligibility for or current Oregon licensure
-
Previous clinical experience in pediatrics, relationship-based and sensory-based interventions preferred.
​
Schedule
We offer flexibility in scheduling, and are open to full-time and part-time positions.
In addition to weekdays, evening and weekend shifts are available.
